Viewing Holds

Holds are administrative blocks that prevent you from performing key enrollment activities or processes. The two most common processes restricted by holds are:

  • Registration - The hold prevents you from registering for classes.
  • Transcript access - The hold prevents you from viewing your grades, requesting a copy of your grades, viewing your unofficial transcript, and requesting an official transcript.

Because of the process names associated with these--Registration and Transcript--many students believe that the Registrar's Office is the office to contact about removing holds. This is not true. The Registrar does not place holds; other administrative offices do. The Registrar cannot remove holds; only the office that placed a hold on your record can remove it.

View Holds Screen

Here is how to find out what type of hold you have, which office placed it, and why that office placed it.

  1. Login to the Spectrum portal.

  2. Click on the "Student" tab.

  3. Locate the "Banner Self-Service" channel.

  4. Expand the "Banner Self-Service" folder by clicking on its folder icon.

  5. Expand the "Student & Financial Aid" folder by clicking on its folder icon.

  6. Expand the "Student Records" folder by clicking on its folder icon.

  7. Click on the View Holds link:

    Note: Many screens within Student Self Service, such as the Registration Status screen, contain a "View Holds" link. You can also follow that path to the View Holds screen.


When you reach the View Holds screen, you should see a display similar to this one, if you have holds:

The Reason and the Originator columns are key to understanding why you have a hold and what you should do. In this example, the student has a Transcript hold and a Registration hold, both for outstanding accounts receivable (the student owes money). Outstanding accounts receivable holds are always placed by the the Bursar's Office. The student would have to contact the Bursar to find out what he or she must do to remove the holds.

Holds can be placed for many other reasons--a missing transcript from your high school or previous institution, lack of proof of immunization, missing proof of insurance for international students, etc. If you consult the View Holds screen, it will tell you which office to contact so that you can begin the process of removing your holds.
